LETTER OF INVITATION TO BIDS
3 December 2013.

Dear Prospective Bidder,

The African Union Commission hereby invites all interested, experienced, and licensed Companies to submit proposals for Landscaping and Gardening Maintenance Services under a TWO year framework contract. Details are listed in the terms of reference attached.

Bidding is open to all Contractors who meet the criteria below:

1) Bidders shall be Registered Companies with a valid trading license
2) Minimum of three years experience in provision of landscaping and gardening maintenance services of large scale business.
3) Signed bid form
4) Proof of Company’s financial capacity for the last three years. (To be enclosed with the technical proposal)
5) Entries of joint venture should have a lead Company which should clearly state the members of the joint venture and a Memorandum of Understanding signed and sealed by all members.
6) Documentation accompanying the bid must be in Englis.

Contractors are hereby notified that there will be a formal Site Visit which will take place on Tuesday 17th December 2013 at 2.30pm. Interested bidders are requested to be present at the AUC premises (Reception on 3rd floor building C) at the scheduled time where he/she will be escorted by the Procurement Section’s staff to the buildings. This will be the only Site Visit that will take place; therefore bidders are advised to participate.

The FINANCIAL and TECHNICAL offers must be delivered in TWO SEPARATE inner envelopes to the address below on or before 4th January 2014 at 3.30 pm and a public bid opening on the same day at the AUC premises at 4.00 pm.

PLEASE ENSURE THAT YOUR TECHNICAL PROPOSAL DOES NOT INDICATE ANY PRICE ELEMENTS

Envelopes should be clearly marked with the Title of the procurement and procurement number. Bidders are required to submit ONE original and THREE copies of the Technical and financial offer.

Bids shall be valid for a period of 90 days. Bid opening will be held on the 4th January 2014 at 4.00pm at the AUC premises in the presence of bidders or bidders’ representatives who choose to attend. Late bids will be rejected and returned unopened to bidders.
